Harborview Medical Center's Madison Clinic has an outstanding opportunity for a Program Coordinator (Full-Time, Day Shift) position. Under general supervision, the Program Coordinator will perform functions to support the 2 West Clinic’s Madison Clinic. Madison serves those with or at high risk of HIV. Madison is the largest provider of HIV primary care in the region. This part-time Madison PC will coordinate the delivery of medical and nursing care and the patients' access to health care, including the patients' entry into and through the spectrum of clinical services of the health care system. PC responsibilities vary depending on the service to which they are assigned by their supervisor.

Responsibilities: • Manage referrals from various departments/divisions and schedules appointments in a complete and timely manner. Special attention is required for urgent patients so as to schedule these patients appropriately. • Coordinate with various departments to schedule high-risk patients who require specialized studies. • Pre-authorization and contact insurance carriers as required. Provide patients with explanation of coverage and co-payments. • Obtain outside medical records. • Contact/interface with various transportation companies to facilitate arrangements. • Manage provider templates and schedules via Epic application. • Communicate with interdisciplinary clinical staff from Harborview and outside facilities, patients, and caregivers. • Communicate with physicians surrounding patient flow. • Coordinate follow-up appointments. • Data collection, and compile and maintain various databases. • Prioritize multiple competing projects and is able to meet deadlines. • Provide high-level word processing using MS Office Products. • Assist with proactively managing vacancies in provider schedules. • Interface with UWP clinics and providers to schedule appointments and follow-up. • Schedule clinical appointments and diagnostic tests • Provide feedback and communicate with clinic staff to obtain incomplete or missing information needed to process referrals and or schedule studies. • Manage clinic in-basket messages in Epic. • Perform related duties as required.

Consistently use creative problem-solving approaches to resolve difficult situations. • Demonstrate respectful, professional, and appropriate behavior that supports a team-oriented work environment. • Demonstrate a commitment to the mission, core values, and goals of Harborview and its healthcare delivery, including the ability to integrate values of justice, respect, compassion, excellence, and stewardship into appropriate programs and services.

Desired: • Previous experience in a fast-paced clinical healthcare setting. • One (1) year of experience in working with insurance companies, especially on pre-authorizations.
