POSITION PRPOSE The Department of Mechanical Engineering has an outstanding opportunity for a Research Coordinator. Under the general supervision of Dr. Jonathan Liu, this individual will manage the fiscal, administrative and lab operations along with research coordination for the Molecular Biophotonics Laboratory. This position will provide administration and day-to-day management of these activities, assuring operational efficiency for the faculty, students and staff of the research group. This group will rely on this position to answer all key questions and manage issues related to research administration and lab operations.

DUTIES & RESPONSIBILITIES Administration and Financial Management (45%)

  • Develop and maintain budget reports in collaboration with departmental staff.

  • Conduct regular meetings with PI to review expenditures and projections.

  • Oversee budget reconciliation and perform reporting processes as required by sponsors.

  • Manage and assist with purchases and reimbursements for the lab, including tracking and ordering supplies and providing guidance on allowable expenses and purchasing policies.

  • Maintain grant documents and stay informed of requirement changes (e.g., biosketches, other support, data sharing plans).

  • Collaborate with department HR on the hiring of lab staff and students and ensuring salary allocations for lab personnel are accurate.

  • Schedule and coordinate weekly project meetings, monthly progress updates, and annual site visits between the lab team and research collaborators.

  • Record meeting minutes and document action items.

  • Contribute to the dissemination of published datasets on public repositories.

  • Ensure fiscal integrity and compliance with federal, state, sponsor, and institutional policies. Clinical Study Coordination (40%)

  • Collaboratively develop and implement protocols, consents, and agreements for clinical studies.

  • Track patients, tissues, and datasets and maintain clear documentation for funding agencies.

  • Coordinate with the tissue bank (Northwest BioSpecimen) and clinical collaborators on tissue accrual and clinical testing.

  • Contribute to conference and journal publications through dataset documentation and analysis. Laboratory Management (10%)

  • Facilitate intake and safety training for new lab personnel.

  • Collaborate with the lab PI and personnel to address infrastructural or process improvements within the lab.

  • Coordinate and prepare for safety inspections. Other duties as assigned. (5%) MINIMUM REQUIREMENTS?

  • Bachelor's Degree in Health Administration, Business, Public Health or related field.

  • Minimum of 1 year of job-related experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience and proven skill in managing budgets, fiscal projections and tracking expenses across projects.

  • Ability to work effectively and efficiently in a group environment.

  • Exceptional organizational, administrative, project management and customer service skills.

  • Must be self-directed and able to work independently, and under limited supervision, to complete assigned projects.

  • Excellent written and verbal communication skills with all levels of colleagues.

  • Demonstrated ability to analyze complex and non-routine issues requiring innovative solutions.

  • Strong attention to detail, ability to multitask and adapt to changing priorities while quickly learning new skills when necessary.

  • Proficiency in MS Office products especially Excel. DESIRED QUALIFICATIONS

  • Experience with NIH-style grant administration and fiscal management.

  • Experience with clinical research coordination.

  • Experience with research lab management. CONDITIONS OF EMPLOYMENT

  • Ability to work hybrid – work from home and on campus but there will be times when on-site work will be required such as site visits, safety inspections, inventory of lab supplies, onboarding of new personnel, interacting with patients, or meeting with team members or collaborators in addition to weekly on-site meetings.
